Inventory reports are documents that summarize the details of all hardware assets within a specific IT environment. In the Viewing Inventory Reports document, we explain how to generate custom inventory views and how to optionally save them as a device group.

In this document, we will explain how to create a report of these views and generate a soft or hard copy to send to interested parties.

How Can I Generate an Inventory Report in NinjaOne?

There are two ways to generate an inventory report: from a group or scratch. Let us explain how to generate a report from scratch first.

  1. On the left side of the main screen of the NinjaOne application, select Reporting.
  2. Click Create. A drop-down menu appears, select Data Table. A Dialog box appears.
  3. Fill out the report name and the description. Then click Create. The Create report screen appears with the title and description filled out.
  4. On Group, select No Group.
  5. Click the gear icon at the right of the screen. The table settings dialog box appears.
  6. Choose the Sort Criteria, sort direction, and add the columns of your preference. There are up to 20 columns to choose from. You can drag and drop the columns to reorder.
  7. Click Apply. Click Save on the top right corner. Your report is ready.
  8. Click Close and your report will be visible.

As you can see, the report lists all the devices in the tenant, and there are no filtering options, this is a general hardware inventory report. A way to create a better customized report is by using device groups. Let us explain how to create this kind of report.

  1. Open the device dashboard and using filters customize your hardware inventory view.
  2. Save the view and give it a name.
  3. Go to Reporting.
  4. Click Create. A drop-down menu appears, select Data Table. A Dialog box appears.
  5. Fill out the report name and the description. Then click Create. The Create report screen appears with the title and description filled out.
  6. On Group, select your group name.
  7. Click Save and Close. Your report will be visible.

Strategy to Create an Inventory Report Listing All Devices With Less Than 8 GB Memory Belonging to Datacenter1 Organization

To create such a report, let us create first an inventory view that matches the criteria, then create a device group, and then use the group to generate the report. Follow the next steps.

  1. Go to the Device Dashboard.
  2. On the organization filter, select Datacenter1.
  3. On Additional Filters, select memory capacity.
  4. On range criteria, select less than, then select 8 GB.
  5. Click the gear icon. On columns, add memory.
  6. Then click Save. Give the group the name: Computers with less than 8 GB memory. Optionally provide a description. Keep the sharing option with the default value.
  7. Click Save.
  8. Go to Reporting.
  9. Click Create. A drop-down menu appears, select Data Table. A Dialog box appears.
  10. In the name field, type Computers with less than 8 GB memory. Optionally type a description.
  11. Click Create.
  12. On group, select the “Computers with less than 8 GB memory” group.
  13. Click Save, then Close.
  14. The report is ready and visible.
